How to Track and Manage Document Execution in Massdraft for Docusign Deals

Introduction

MassDraft is a powerful tool designed to automate and manage large-scale document drafting, execution, and tracking. This article will walk you through the process of tracking and managing document execution within MassDraft, particularly for deals involving DocuSign.

Steps to Track and Manage Document Execution

1. Navigating to the Execution Tab

Once your envelopes have been prepared and reviewed, navigate to the "Execution" section in MassDraft. This is where you will manage the sending and tracking of your documents. Note that you are required to publish your deal before upload is available.

2. Sending Envelopes to DocuSign

  • Depending on your settings:

    • Mark Envelopes as Drafts: Envelopes will be uploaded as drafts to DocuSign and can be found in the Drafts folder.

    • Send Envelopes Automatically: Documents are sent directly to recipients via DocuSign.

  • Click on the Send Envelopes button to initiate the signing process.

3. Monitoring Document Status

MassDraft provides a dashboard to track the progress of document execution.

  • The MassDraft <> DocuSign Dashboard updates real-time status.

  • Click on "Refresh Dashboard" icon

4. Sending Reminders

If a recipient has not signed their document:

  • Click on Send Reminder Email in the dashboard to nudge them.

  • This will trigger a follow-up email via DocuSign.

5. Managing Envelopes

You can perform various actions on your envelopes:

  • Export Envelopes as PDF: Download copies of signed envelopes.

  • Group Documents in ZIP Files: Organise multiple documents into ZIP files.

  • Include DocuSign Audit Log: Download signed documents along with an audit trail.

  • Merge Signed Counterpart Documents: If documents were signed in counterpart, merge them into a single PDF.

  • Delete Envelopes: Void an envelope if necessary.

6. Post-dating Executed Documents

Post-dating allows users to add the final date in their documents.
​Please note: Only documents with post-date fields configured will be dated. If your deal includes post-dating:

  • Click on the Post-dating icon on the dashboard.

  • Select the appropriate date for each field.

  • Click Apply to finalise the date entries.

7. Completing the Deal

Once all documents have been signed and verified:

  • Click on Complete Deal to move it to the "Completed" section in MassDraft.

  • Note: Once a deal is completed, no further modifications can be made.
