Docusign Dashboard and how to use it effectively

Overview

The Massdraft and Docusign integration enables users to manage and execute bulk document signing efficiently. This article walks you through the functionalities available on the Massdraft <> Docusign Dashboard and how to use them effectively.

Accessing the Dashboard

The Massdraft <> Docusign dashboard is available on the "Execution" tab inside a Docusign deal. The dashboard allows users to track the status of their envelopes, as well as do key actions to their envelopes.

Key Features

The dashboard provides the following functionalities:

1. Tracking Envelope Status

  • Monitor the progress of your envelopes in real-time.

  • View status updates for every envelope.

  • Clicking the Send envelope icon would initiate the signing process.

  • Signers receive an email invitation from Docusign to sign their documents.

  • Track progress of each signature from the dashboard.

2. Exporting Envelopes as PDF

  • Download with Docusign Audit Log: Includes the Docusign audit log in each envelope folder.

  • Download Completed Envelopes Only: Saves only fully signed envelopes.

  • Merge Counterparty-Signed Documents: Combines individually countersigned PDFs into a single file with all signatures.

3. Exporting Dashboard as .XLSX

  • Downloads the dashboard data as an .xlsx file.

  • Can be used to export envelope data.

Dashboard View Options

The dashboard provides flexible views, allowing users to organise envelopes into groups or view them by workflow states, track progress, and quickly identify items that need attention.

  • Envelope Groups - When enabled, envelopes are organised into groups, allowing you to quickly review, manage, and take action on related drafts together instead of working through each envelope individually.

  • Workflow States - When enabled, envelopes are displayed according to their current position in the workflow (for example, Completed, Awaiting recipient, or Voided), making it easier to track progress and identify items that need attention.

Setting a Default Dashboard View

Users and administrators can define a default dashboard view so that the Mass Draft dashboard always opens in their preferred format.

To set a default view:

  1. Go to Support

  2. Select the relevant Organisation

  3. Open Default user settings

  4. Under Choose the columns in user’s execution dashboard for envelope group view and workflow group view, select the preferred dashboard view, then click Save.

New Execution Board Columns

Several new columns have been added to the Mass Draft execution board to improve tracking and visibility across envelopes.

Available Columns

  • Group - Displays the envelope group, making it easy for users to identify group membership even when using the state-based view.

  • Number of Recipients - Shows how many recipients are associated with each envelope, helping users quickly identify envelopes that include witnesses or additional signatories.

  • Signatures Received - Indicates signature progress for each envelope, allowing users to monitor execution status without opening individual envelopes.

  • Comments (Voided Envelopes) - Displays the reason provided when an envelope is voided.

Customising Dashboard Columns

Users can fully customise which columns are visible on the dashboard to suit their workflow.

To customise columns:

  1. Go to Support

  2. Select the relevant Organisation

  3. Open Default user settings

  4. In Choose the columns in user’s execution dashboard for envelope group view and workflow group view, select or remove columns as required, then click Save.

Other Features

  1. Send Reminder Email: Resends a Docusign notification to the recipient of selected envelopes. Available only for previously sent envelopes.

  2. Delete: Voids the selected envelopes, preventing further action.

  3. Refresh Dashboard Status: Syncs the latest envelope status in the Massdraft dashboard.

  4. Upload latest versions to Docusign: Updates your Docusign envelopes with the latest changes (for example, changes in your Data). This button only becomes available if your deal has been updated to a new major version.

  5. Make Dashboard Publicly Available: Secures the dashboard with a password and enables public access. Users can share a link for external viewing without requiring a Massdraft account. The dashboard can be hidden later if needed.

  6. Link to Public Dashboard: Copies a shareable link to the publicly available dashboard.

  7. Post-dating: Post-dating allows users to add the final date in their documents. Note: Only documents with post-date fields configured will be dated.

Best Practices

  • Use clear and concise naming conventions for documents to avoid confusion.

  • Double-check email addresses to ensure signers receive their requests promptly.
