Avvoka provides users with the option to create multiple copies of a related document off the back of a master document, which is an efficient way to generate copies of a document for different stakeholders quickly. It involves creating a main template with a placeholder and loop and then using workflows to generate multiple documents based on each looped answer.
This feature is especially useful when you have to generate multiple documents based on a master template that has several variables. Rather than creating each document manually, you can use a loop-based document to automatically generate all the related documents at once. This is particularly valuable for document-heavy processes such as corporate formation or creating documents for multiple directors/officers.
How does it work?
To create a loop-based document, you first need to create a placeholder and add a loop.
Tip: If you have multiple loops in your master template, make sure that you label them - you will have to specify which loop you want to populate related documents in the workflow editor.
Then, navigate to workflows on the left side bar and create a new workflow.
Now, set the enrollment trigger to "Document questionnaire submitted."
Next, create a related document and select the source template.
After choosing the source template for the related document, in the document generation settings, select “Generate multiple documents - loop-based” and choose the relevant loop.
Once these steps are completed, the loop-based document will generate all the related documents based on the variables in the loop. Please note that the loop needs to be chosen and labelled carefully, as its ease of accessibility plays a crucial role in generating the related documents. Additionally, only the attributes contained within the loop will be populated into the related documents.
Creation of more loop-based related documents when more iterations are added
When you have the template with the “loop-based create related document” workflow, if the re-trigger criteria setting is activated and more iterations are added to the loop (and the trigger is re-satisfied), then the new related documents will be created based on the extra iterations. If iterations are removed, the linked related documents (based on these iterations) will be removed as well.
How can you use this?
For instance, the majority of documents in a corporate suite, such as the certificate of incorporation, articles of association, board consents, and shareholder minutes, are often unilateral documents signed by the company or involve all shareholders/directors. However, there are other documents that require individual inputs, such as the indemnification agreement for directors, Section 83(b) tax letter for shareholders, and stock purchase agreement for shareholders. You can use a director or shareholder loop in one of the main documents, such as a board consent, along with the multiple related document workflow in the document to dictate how many of each related document are generated. Additionally, any common attributes between the loop and relevant iteration of the document will cross-populate, making it easy to generate personalised documents for each shareholder or director quickly.
