Avvoka’s AI-Powered Smart Automation feature transforms existing documents into fully automated templates - without any manual tagging or coding. You can turn a precedent document into a template with a single upload.

What This Feature Does

  • Detect and extract real deal data from documents (e.g. “ACME Limited” or “€280,000,000”).

  • Identify and convert deal-specific values into variables (e.g. “ACME Limited” → Company Name, “£900,000” →Loan Amount).

  • Generate a dynamic questionnaire based on those variables (e.g. “Please provide the full name of the company” / “What is the total loan amount?”).

You can skip the repetitive task of manually creating templates and questionnaires. Just upload a completed agreement and let the AI handle the rest.

How to Use AI-Powered Smart Automation

Step 1: Upload a Previous Transaction Document

a. Create a template

b. Upload a document that has already been completed with deal-specific information (e.g., a signed contract or a filled-out precedent).

Step 2: AI Analyses the Document

  • Access the Smart Automation button on Avvoka, then click on the ‘Detect placeholders’ button and select from an existing document AI

  • Avvoka’s AI scans the document to:

    • Identify key data points.

    • Recognise which parts of the text represent variable content.

    • Automatically convert those data points into structured variables.

  • Text: “ACME Limited”

  • Variable: [Company Name]

Step 3: Auto-Generated Questionnaire Creation

Once variables are detected, Avvoka automatically creates a matching questionnaire. Each question corresponds to a variable and uses natural, user-friendly language like:

  • “Please enter the company name.”

  • “What is the effective date of the agreement?”

This questionnaire can be used to regenerate the same document structure with new data inputs.

Step 4: Final Review and Edit

  • Review the automatically generated variables and questionnaire text

  • You can manually edit variable names, formats, or question text if needed. AI will only edit the question drafting; all inputs will be defaulted to “Text”.

  • Once satisfied, save and publish the template for future document generation.
