Sending a Document to a Counterparty

Ensures secure external sharing of documents with controlled access defined by user permissions.

The Send Document function allows a document to be shared with a counterparty for collaboration, review, or negotiation. Access and editing rights are controlled through predefined template settings and user permissions.

Sending the Document

To initiate sharing with a counterparty, select Send Document at the top of the View Document screen.

Enter the counterparty details (including name and email address(es)), and assign the appropriate document rights based on the required access level (e.g. edit, comment, or review). These settings determine how the counterparty can interact with the document once access is granted.

Once sent, the counterparty receives an email containing an access link that opens the document directly in the platform, with permissions applied automatically based on template-level configuration.

Interaction is controlled according to the assigned role, restricting actions such as editing, commenting, or reviewing to ensure consistent governance of document handling across all parties.

Document Locking Behaviour

Document editing is controlled once the counterparty accesses the document:

  • Unlock for editing — The document remains editable until the counterparty opens it for the first time

  • Email notification triggered — An email notification is sent when the counterparty begins editing the document

  • Automatic lock — Once the counterparty accesses the document, the sending party is fully locked out from editing

New versions of the document can be sent by using Send Document repeatedly.
