Filtering Documents

Looking for a specific document amongst thousands of documents can sometimes take a little too long. To eliminate the tediousness of document searching, Avvoka’s filtering tool offers a plethora of options to sort and filter documents.

To filter documents in Avvoka, access the ‘My documents’ tab and click on any of these headers in the table:

  • Document Title

  • Recipients

  • State

  • Created

  • Updated

This will sort documents in ascending or descending order based on each column.

To filter a document, first click on your desired option from the above mentioned values. Remember that you can only choose one option from the bar at a time for sorting.

You can invert the sort order (from ascending to descending or vice versa) by clicking the

Ascending Icon

or

Descending Icon

icon below the search bar.

Avvoka also allows you to use filters to narrow down your search.

Filters

Avvoka also supports filters for Documents, Actions and State.

Change these filters in the area below the search bar.

Below is a list of all the different filters and how they work.

This allows Profile Managers or Organisation Support users to see all documents in the Profile or Organisation

Own

This allows Profile Managers or Organisation Support users to see only documents that they are a participant to

Actions

Any

This shows documents with any Action

Continue

Continue documents are documents which are assigned to you and are essentially in progress

Review

This filter is for reviewing documents which are currently in their editing stage

Send

This is for accessing documents which are created and ready to be sent

Sent to CP

Documents which have been sent to the counterparty can be accessed by this filter

Sign

Documents needing signatures can be accessed using this filter

None

None means that you are not able to take action on the document because you are not a participant to the document.

State

Created

Documents which have been created

Being edited by author party

Documents that are locked to the author party

Unlocked

Documents that have been sent by either party but are not locked

Being edited by counterparty

Documents that are locked to the counterparty

Being edited by any party

Documents that are locked to either the author or counterparty

Ready to sign/complete

Documents that are ready to be either signed or marked as complete

Pending external signature

Documents that were sent out to other e-signature platforms for signature

Partially signed/completed

Documents that have some signatures but still require more to be fully signed or completed

Signed/Completed

Documents that have been fully signed or marked as complete
