Collecting Data from External Recipients

Introduction

Massdraft provides a powerful feature that allows users to collect data from external recipients via forms. This enables seamless data gathering, reducing manual entry and ensuring that all required information is accurately captured. This help article outlines the steps to create, manage, and send forms within Massdraft.

Creating a New Form

To collect data from external recipients, follow these steps to create a form:

  • Click "Forms" and then access "+ Add New Form" button.

  • Configure the following:

    • Name: Give a unique name to the form.

    • Recipient email: Choose the email column for sending forms.

    • Custom Message: Personalise the message using automation.

    • Conditional Sending: Choose when a form should be sent based on data availability.

    • Select Questions: Choose which attributes need input from the recipient.

    • Attachments: To include attachments

2. Managing Forms

Once you create your form, you’ll be able to view it in the Forms table. Here, you can see the total number of forms sent out, as well as the number of recipients who responded.

  • Send: Manually trigger the form email.

  • Edit: Modify the form.

  • Delete: Remove a form from the system.

Previewing Forms

Forms can be previewed before being sent to external participants.

To preview a Form, open the relevant Massdraft deal, go to the Data tab, then click Forms

The preview displays:

  • The Form title

  • Question layout

  • Field configuration

This preview is intended for visual review only and does not include full Form functionality.

The preview also shows the data currently entered. Click the eye icon to preview the Form title and question layout.

Previewing the Email

In addition to previewing the Form, the email notification sent to participants can also be previewed. This allows review of the email content and formatting before sending.

Use the preview option set to Email to check how the message will appear in the email.

Users can send a test Form to themselves to preview the full end-to-end experience before sending it to external participants. Test Forms support full functionality, do not update live deal data, and can be sent multiple times to validate Form setup and participant experience.

Sending Forms to Recipients

Once a form is configured:

  • The form appears in the Forms table, where you can track its status.

  • Click the "Send" button to dispatch the form to recipients.

  • Recipients receive an email with a link to complete the form.

Managing Forms and Responses

  1. Monitoring Form Responses

    • View sent forms in the "Forms" section.

    • Track the total number of forms sent and responses received.

  2. Editing and Deleting Forms

    • Click the Edit icon to make changes.

    • Click the Delete icon to remove a form if no longer needed.

  3. Incorporating Responses into Data Table

    • Once recipients submit their responses, Massdraft automatically updates the data table.

    • Users can review and validate the responses.

Best Practices

  • Ensure email addresses in the data table are correctly formatted to avoid failed deliveries.

  • Use clear and concise question labels to make it easy for recipients to understand what information is needed.
